7 Questions to Ask Before Renting a Private Suite

1. What’s actually included in the rent?

Is there a separate charge for building access or security? A suite that looks cheaper on paper can end up costing more once you add up everything billed separately.

2. How flexible are the lease terms?

Ask whether you’re locked into a long-term lease, and what your options are if your business or personal circumstances change. Some buildings offer a range of terms — for example, a 12-month lease with better pricing and perks, or a shorter 6-month term for more flexibility — with a shift to month-to-month after your initial term. Know this before you sign, not after.

3. What’s the deposit, and is it refundable?

Most suite rentals require some kind of deposit at move-in. Ask how much it is, whether it’s refundable, and under what conditions you’d get it back at move-out.

4. What does the application process look like?

Some buildings have a simple online application and background check; others have a more involved approval process. Ask what’s required and how long approval typically takes, so you can plan your move-in timeline accordingly.

5. What security and access features does the building have?

If you’re planning to see clients outside standard business hours, ask about building access — is it 24-hour access via keycard or app, or limited to certain hours? Also ask about security measures, like alarm systems or monitored entry, especially if you’ll have product or equipment on-site.

6. What amenities are available to tenants?

Beyond your suite itself, ask what’s available in shared spaces — a waiting area for clients, tenant lounges, on-site laundry, and parking are all things that affect your day-to-day experience and are worth comparing across buildings.

7. What happens if something breaks or needs maintenance?

Ask who’s responsible for building and suite maintenance, and how quickly issues typically get resolved. A responsive maintenance process means less downtime for your business if something goes wrong.

Many suite buildings run seasonal promotions — move-in discounts, sign-on perks, or programs for recent graduates. These can meaningfully lower your upfront costs, so it’s always worth asking what’s currently available before you commit.
